Google Calendar

Link Google Calendar so your AI receptionist can check real openings and book appointments for callers during the call. Availability follows your business hours.

Connect Google Calendar on the Connections page and your AI receptionist can offer real openings and book appointments straight onto your calendar, while the caller is still on the line.

Before you begin

  • Set your business hours first. With Google Calendar, the AI offers times inside your business hours and skips anything already busy on your calendar. If your hours aren't set yet, the Google Calendar card asks you to set them before you can connect. Set them in Receptionist, on the My Business tab, under Business hours.
  • You need a Google account with the calendar you want bookings on.

Steps

  1. Open Settings → Workspace → Connections.
  2. Find Google Calendar under Calendar & scheduling.
  3. If the card says your business hours are needed first, select Set your hours, save your hours, and come back.
  4. Select Connect.
  5. Sign in to your Google account and approve access.
  6. You land back on Connections, and Google Calendar now shows Connected.

Turn it into real bookings

Connecting is only step one. Select Manage appointment types on the card (or open Receptionist, then the Appointments tab) and add at least one appointment type. Without one, your AI can't offer to book anything.

What happens next

Your AI checks your real Google Calendar before offering a time, so it never double-books. New bookings appear on your calendar right away. Availability comes from your business hours, not from Google: the AI offers open times inside the hours you set in RankLadder (or the tighter booking hours on an appointment type) and skips busy blocks on your calendar.

If it does not work

  • If you see "Access was declined", the Google approval screen was closed or denied. Select Connect again and approve access.
  • Make sure you sign in with the Google account that owns the calendar you want bookings on.
  • If the card later shows Needs attention, select Reconnect and sign in again.
