Let Anders book appointments

Set up appointment types so Anders can offer real openings and book appointments on your calendar while the caller is still on the line.

Anders can check your calendar and book appointments for callers during a call. Set this up under Anders → Handling → Appointments by creating appointment types: what Anders can offer, how long each one takes, and when to suggest it.

Before you begin

  • Connect a calendar first. Booking needs a connected calendar on the Connections page: Google Calendar, Square Appointments, or Acuity Scheduling. Without one, the Appointments tab asks you to go to Connect.
  • Google Calendar, Outlook Calendar, Calendly, and Acuity Scheduling are available on every paid plan. Square Appointments and Clio need Pro or higher.
  • You need to be an owner or manager.

Create an appointment type

  1. Open Anders → Handling → Appointments.
  2. Select Add appointment type.
  3. Give it a Name callers will understand, like "Estimate visit" or "Consultation".
  4. Under Books onto calendar, choose the calendar this type books into.
  5. Set the Length (minutes). It must be between 5 and 480 minutes. You can also add a Buffer before (min) or Buffer after (min) to leave travel or prep time around each booking.
  6. Decide when this type can be booked. By default, bookings follow your business hours. Turn on Limit to specific booking hours to set a tighter weekly window instead, like estimates only on weekday mornings.
  7. In When should the AI offer this?, write plain-English guidance, like "Offer when a caller wants a quote for a bigger job." Your AI reads this to decide when to suggest this appointment type.
  8. Under Information to collect before booking, check anything you want the AI to ask for first.
  9. Select Add appointment type to save.

A note on availability: if the type books onto Google Calendar, the AI offers times inside your business hours (or your custom booking hours) and skips anything already busy on that calendar. Square Appointments and Acuity Scheduling manage their own booking hours and buffers, so the AI follows the availability rules already set up in those accounts.

What happens next

On the next call, when the conversation fits your guidance, the AI offers real openings, confirms a time with the caller, and books it. The appointment lands on your calendar right away, and the call in your Inbox shows what was booked. If you have booking notifications on, you'll get a heads-up too.

You can come back anytime to Edit, Deactivate, or Delete a type. Deactivating stops the AI from offering it without deleting the setup.

Does a booking create a customer task?

A successfully confirmed appointment does not need an additional task just because the visit is in the future. The booking stays on the calendar, with its conversation in Inbox. If the customer also needs a callback or another answer, that separate request can become a task. If booking failed and a person still needs to resolve the request, the task should say what remains to be done.

If it does not work

  • No appointment types yet means the AI can't offer to book anything. Create at least one and make sure it's active.
  • If the calendar card in Settings → Workspace → Connections shows Needs attention, the connection dropped. Reconnect it and booking resumes.
  • If your calendars won't load on the Appointments tab, reconnect Google Calendar on the Connections page and try again.
