Choose what your AI collects before booking

For each appointment type, you can choose what your AI collects from a caller before it books.

Steps

1. Open Receptionist, then Appointments.
2. Open an appointment type, or create a new one.
3. Under Information to collect before booking, check the fields you want your AI to ask for. Name and Phone number are always collected and can't be turned off.
4. You can also choose from any custom fields you've added, or select Add a custom field to create one.
5. Save the appointment type.

Fields locked by your calendar provider

Some fields are checked and locked, with a note like "(required by Acuity)" next to them. That means the calendar provider itself needs that information to create the booking, not something RankLadder is choosing to ask. Acuity, for example, requires an email address for every booking.

What happens next

Your AI asks for exactly the fields you picked, in conversation, before confirming the appointment. Anything a caller shares this way is saved to their contact.
