Using RankLadder

Filter and search your Inbox

Use the filter list, sort options, tags, and search box to find any call, text, or chat in your RankLadder Inbox fast.

The Inbox has a filter panel next to the conversation list, plus a search box above the list. Together they can find any conversation in a few seconds.

On a desktop, the filter panel is always visible on the left. On a phone, tap the Filter button above the list to open it, and Close filters to put it away.

The filters

Each filter shows a live count of matching conversations. Pick one to narrow the list:

  • All. Every conversation.
  • Unread. Conversations you haven't opened yet.
  • Calls. Conversations with at least one phone call.
  • Texts. Conversations with text messages.
  • Web Chat. Conversations that started in your website chat.
  • Messages. Calls where the AI took a message for you.
  • Missed. Calls that didn't reach a person or the AI, including ones that went to voicemail.
  • Voicemail. Calls that landed in voicemail.
  • Transferred. Calls the AI transferred to you or your team.

Sorting

Under Sort, choose the order of the list:

  • Newest first. The default.
  • Oldest first. Handy when you're catching up from the start of the day.
  • Hottest leads. Highest lead scores at the top. This option appears on plans with lead scoring (Pro and Scale).

Tags

If you've set up call tags, a Tags section appears with All tags plus each of your tags and its count. Pick a tag to see only those conversations. Calls get tagged automatically as they end, using the tag list under Receptionist, in the Call Tags tab.

Searching

Type in the search box above the list ("Search calls, texts, contacts…"). It matches:

  1. The caller's name.
  2. Their phone number.
  3. The words in each conversation's summary.

The list narrows as you type. Search works together with the active filter and tag, so you can search only your missed calls, for example.

If it does not work

  • Seeing "No conversations with this tag"? Pick another tag or go back to All tags.
  • List looks empty? Check that a filter or search isn't still active. Choose All and clear the search box.
