Contact cards: who's calling you

What a RankLadder contact card shows, how callers get saved automatically, and how to choose the fields your business uses.

Every person who calls, texts, or chats with your business gets a contact card. Open Contacts to see them all in one place.

The contacts list

The list shows everyone RankLadder knows about. To find someone fast:

  1. Use the Search contacts box to search by name or number.
  2. Switch between the Active and Blocked views.
  3. Use the filters: All or Has notes, and a Source filter with All sources or Call-created.
  4. Tap New contact to add someone by hand. The form shows the fields your business selected with the Contacts gear. Enter at least a name, phone number, or email address, then tap Save.

What's on a card

Pick a contact to see their card. It holds:

  • Their name, phone number, and address fields like Street address, City, State, ZIP code, and Country.
  • Contact fields: the customer details your business has chosen to show, such as company, job title, birthday, county, or contact source.
  • Notes: private notes for you and your team. Your AI never sees these.
  • Instructions for your AI: rules the AI follows on every call from this person.
  • Memory: what the AI remembers about this caller from past calls. You can tap Clear memory to wipe it.
  • Texting, with separate switches for Information & reminders and Review requests, plus the date each permission was recorded.
  • Recent activity: their past call and text conversations.
  • Added and Modified dates.

The card menu (under Contact actions) also lets you View calls, Block contact, or Delete contact.

Texting permissions on a contact

Use Information & reminders for one-to-one operational messages, such as an answer the customer requested, a request for incomplete information, an appointment reminder, or a service update.

Use Review requests only after the customer gives separate written permission for a Google review invitation. Review requests are promotional, so this switch is separate from everyday information and reminders.

How callers get saved

You choose when callers become contacts. Open the gear beside Contacts, then choose Saving contacts. The choices are:

  • Only real customers: callers are added when they book an appointment, when you tap Add to contacts, or when they sync from a connected CRM.
  • Every caller: everyone who calls is added automatically. Spam calls are never added.
  • Manually: callers are only added when you tap Add to contacts on a conversation.

Your AI remembers every caller either way. If you add someone later, their details and call memory are already on the card.

Choose which contact fields appear

Open Contacts and choose the gear beside the heading to select the fields your business uses. Your choices apply to every contact card, and hidden fields keep any information already saved in them.

See a contact from a conversation

Inside any conversation in your Inbox, open the Contact panel. It shows who you're talking to and lets you update their texting permissions. From there you can tap Open in Contacts, or Add to contacts if they aren't saved yet.

Add a task for a customer

To record something your team still needs to do for this person, open Tasks → Add task and search for their name. Choose an owner and optionally add a next step and due date. A saved contact is required; a previous conversation or connected app is not.
