Choose the information shown on contact cards
Use the gear beside Contacts to choose which details your business keeps visible on every contact card.
Every business keeps different customer information. A hotel may need a preferred language and customer ID, while a contractor may care more about an address, county, and contact source. RankLadder gives your business a ready-made list of contact fields so you can choose the details that fit the way your team works.
Your selection applies to every contact in the business, giving everyone on your team the same clean contact-card layout.
Choose your contact fields
- Open Contacts.
- Choose the gear beside Contacts. On a phone, the gear appears at the top of the Contacts screen.
- Stay on Contact fields and turn on each field your business wants to use. The fields are grouped by identity, phone and email, work and online profiles, address, and additional details.
- Turn off fields you do not need to see.
- Return to Contacts. Your choices appear on every contact card right away.
You can come back to the gear at any time as your business needs change.
The same selection also controls New contact. When someone on your team adds a contact by hand, the form shows every field you turned on—including mobile phone, work email, and social profiles such as TikTok, Instagram, Facebook, and YouTube—and leaves hidden fields out.
To change when callers are saved automatically, choose Saving contacts at the top of this screen. That setting is separate from which fields appear.
What happens when you hide a field
Hiding a field only removes it from your contact-card layout. Any information already saved in that field stays safe. If you show the field again later, its saved information returns.
For example, you can hide Birthday now, turn it on next month, and keep any birthdays that were already saved.
Pick a setup that fits your business
You do not need to use every field. A few examples:
- A consultant might show First name, Job title, Company, Email, and Birthday.
- A home-service business might show First name, Last name, Phone, Street address, City, County, State, ZIP code, and Contact source.
- A hotel might show nearly everything except Birthday.
Start with the information your team actually uses. You can always show another field later.
Contact fields and intake questions are different
The contact-field gear controls what your team sees on contact cards. It does not automatically tell Anders to ask customers for every visible field.
To choose what Anders should collect during a call or website chat, open Receptionist, choose Intake, and select the contact information under Also ask for. Anything collected there is saved to the matching contact card.
Contact information can also come from caller ID, your team, or a connected CRM.
