Ask every caller the right questions
Intake forms tell your AI what to ask on calls and website chats. Build named sets of questions, pick the contact info to collect, and describe in plain English when each form applies.
Intake forms tell Anders what to ask during calls and website chats. Each form is a named set of questions plus the contact information Anders should collect. Set them up under Anders → Handling → Intake.
You can have more than one form. Tell the AI in plain English when each one applies ("When a caller wants a quote for a bigger job"), and it picks the right form for the conversation.
Before you begin
- You need to be an owner or manager.
- The AI never asks for a phone number on calls. Caller ID already provides it.
Steps: add a form
- Open Anders → Handling → Intake.
- Under Add an intake form, give it a Form name, like "New customer intake".
- In When should the AI use this form?, describe when it applies, in plain English. Leave it blank and the form applies to every conversation.
- Check where it runs: On calls, In website chat, or both.
- Under Also ask for, check the contact info the AI should collect with this form, like name or email. Answers save to the caller's contact when it doesn't have them yet.
- Choose Add question. Give it a Question label, like "Have you had lawn care service before?"
- Fill in What should the AI find out?. This part is required. It tells your AI exactly what to extract from the conversation, so be specific.
- If a question only applies sometimes, say when in When to ask (optional).
- Choose Save question, then Add form.
Use Move up and Move down to reorder questions. Use Deactivate to pause a form without deleting it; it shows an Inactive badge until you choose Activate again.
What happens next
On the next call or chat that matches, the AI works the questions into the conversation naturally. You'll find what it collected in the conversation's Details panel, in the Intake section. Contact info from Also ask for saves straight to the caller's contact card, and the AI won't ask again for things it already knows.
If it does not work
- If the AI didn't use a form, check that the form is active and checked for the right channel (On calls or In website chat).
- If it used the wrong form, make each form's When should the AI use this form? description more specific, so the situations don't overlap.
- If saving fails with "Give the question a name and a description", fill in both the Question label and What should the AI find out?.
