Upload documents to teach Anders

Upload policies, pricing, services, and procedures. Review every draft before Anders uses it on calls or website chat.

If your business information already lives in documents, you do not need to retype it. Upload the files under Anders → Knowledge → Knowledge, and RankLadder organizes the customer-safe details into draft Q&A and Instructions for you to review.

Nothing from an uploaded document is used on calls or website chat until you approve it.

What you can upload

RankLadder accepts:

  • PDF files, including scanned PDFs
  • Word documents (.docx)
  • Excel workbooks (.xlsx) and CSV files
  • Plain text, Markdown, HTML, XML, and JSON files

You can upload up to five files at a time. Each file can be up to 50 MB.

What Anders can learn

Useful files include:

  • Service lists, service areas, and eligibility requirements
  • Business hours and customer contact details
  • Pricing sheets, fees, ranges, deposits, and conditions
  • Return, refund, cancellation, warranty, and privacy policies
  • Exclusions, prerequisites, and other important limits
  • Step-by-step procedures and customer-handling instructions
  • Frequently asked questions and approved answers

Use your current source of truth. Clear headings, well-labeled tables, and readable scans produce the easiest drafts to review. Avoid uploading several versions of the same policy if they disagree.

Steps

  1. Open Anders → Knowledge → Knowledge. During initial setup, you can also upload files on the Review step.
  2. Under Import documents, choose Choose documents and select up to five files.
  3. Leave the page open while the upload finishes. After that, you can safely continue working elsewhere while RankLadder prepares the drafts.
  4. Open the completed document and review each proposed Q&A or Instruction.
  5. Compare the draft with the source excerpt and its page, sheet, or section. Pay special attention to any warning about a conflict or detail that may need confirmation.
  6. Keep only the entries you want and choose Approve, which shows how many selected entries will be approved.

Approved items become regular Knowledge entries. You can edit, switch off, or delete them later, just like an entry you wrote yourself.

Review carefully

RankLadder keeps prices, units, fees, conditions, exclusions, prerequisites, and ordered steps together when they belong together. Even so, you remain in control of what Anders may say.

Before approving, check that:

  • Prices include the correct unit, range, fees, and conditions.
  • Policies include important exceptions and deadlines.
  • Procedures keep their steps in the right order.
  • The wording is safe and appropriate to say directly to a customer.
  • Older information does not conflict with a newer document or saved Knowledge entry.

If something is incomplete or unclear, leave it unapproved and add the correct entry manually.

Protect private information

Uploaded files are private to your business, but Knowledge is designed for information Anders may share with customers. Do not upload passwords, payment-card details, payroll information, customer records, private employee information, or internal secrets.

If a document mixes customer-safe information with confidential material, create a clean customer-facing copy before uploading it.

Delete an uploaded source

Choose Delete next to an uploaded document to remove it. Deleting it also removes the Knowledge entries that were imported from that document. Entries you added manually or imported from another source are not affected.

If it does not work

  • If a scanned PDF produces incomplete drafts, upload a clearer scan with upright, readable pages.
  • If a spreadsheet is confusing, add clear column headings and remove unrelated sheets before trying again.
  • If a file fails, confirm that it is a supported type, is no larger than 50 MB, and is not password-protected.
  • If two documents disagree, keep only the current version or approve the correct drafts individually.
