What RankLadder keeps about your callers

RankLadder keeps call recordings, transcripts, summaries, and the contact details a caller shares. You can delete any conversation or contact whenever you want.

For every call your receptionist answers, RankLadder keeps the recording, the transcript, a short summary, and any contact details the caller chose to share. All of it lives in your account, and you can delete it whenever you want.

What's kept for each conversation

  • The recording. Every answered call is recorded, and every caller is told so in the first sentence of the call.
  • The transcript. A written version of the call, in the language it was spoken. If the caller spoke a different language than yours, a translation is stored alongside it.
  • The summary. A short recap of what the caller wanted and what the AI did.
  • Texts and chats. Text conversations and website chats are kept as part of the same conversation history.

What's kept on a contact card

A caller's contact card holds what they've shared with your business: their name, their phone number, and details like an email or address if they gave one. It also shows separate permissions for Information & reminders and Review requests, plus any notes or tags your team adds.

Who can see it

Only you and the team members you've invited to your business can see your conversations and contacts. Callers are never contacted without permission, and their details are used to run your front desk, not for anything else.

You're in control

You can delete caller data yourself, at any time:

  • Delete a conversation. Open it in the Inbox and choose Delete conversation from the actions menu. You can also delete just one call or just a transcript.
  • Delete a contact. In Contacts, choose Delete contact on the person's row.

Deleting is permanent. The recording, transcript, and summary go with the conversation.
